WSF is seeking an Office Administrator to ensure our organization has adequate funding to encourage our students to live a curious life through direct service programming, grantmaking, advocacy, and educational community engagement events. The Office Administrator leads, with the Director of Development, to ensure every donor and alumni feels connected and valued across broad sections of the community while supporting the WSF mission and our programs.

PRINCIPLE RESPONSIBILITIES: Performs general administration office duties, database management, website administration creating campaigns and event pages. This position also maintains and updates financial information, reconciles bank accounts and handles donations while facilitating the grant review process and scholarships.
General Administration
Office Duties
Interact with the public in a pleasant and helpful manner on the phone, in the office and at events.
Order supplies as needed for the office, meetings or events
Responsible for office appearance
Renew annual subscriptions and contracts including insurance and rental agreements with BOE
Responsible for monthly staff payroll
Database Management: Giftworks
Input donor and donation information
Generate campaign/event reports and donor/donation reports
Communications/Correspondence
Receive mail and electronic communications
Prepare general letters, acknowledgements and bulk mailings
Assist with public relations and marketing
Website Administration: Wix
Create campaign/ event pages
Update website content as needed
Board of Trustees Tasks
Prepare agenda, reports and records minutes for meetings
Attend meeting s for BOT, EC and committees
Maintain BOT documents policies, board member information
General Book Entry Responsibilities
Maintain and update financial information using Quickbooks
Receive all cash/check/credit card donations and enter transactions
Deposit donations to bank and investment accounts
Reconcile bank accounts and investment accounts
Issue checks for operating expenses and approved grants
Transfer funds as needed between accounts.
Finance Related Responsibilities
Budget and other financial reports
Create/mail annual summaries for Legacy Funds
Create/publish annual report
Handle stock donations
Prepare reports and documents for tax filings, compilations and other audits
Foundation Special Events
Work with committees for annual special events/assist with event management and planning.
Prepare and send letters for corporate sponsors and auction solicitation/record donations.
Keep track of reservations of attendees or registration of participants.
Grant Processing
Facilitate the grant review process between the district, grant committee and executive committee.
Maintain and update information on Legacy funds and balances available for grant disbursements.
Process documents, checks, and communications for approved grants and scholarships.
Meet and/or contact district staff including department heads annually to educate about annual restricted funds.

You have experience in overseeing office administrative work, preferably in a not-for-profit environment, with a successful track record of being organized, detailed and a good communicator.
You are a team player. You are a big-picture thinker who can build support among staff, board members, and the community.
You are a multi-tasker. You are a fast learner in using a donor database to set meaningful targets and continually assess your progress.
You can execute events for 15 or 350 attendees that are engaging, highly professional, and effective in moving your audiences to action and generosity.
You are financially aware and competent in general bookkeeping. You can easily work with numbers, and as a team with the BOD financial person.
You are an excellent communicator, both written and verbal, and are able to build trusted relationships with donors and community leaders
You are passionate about the causes of distribution of grants, equity and public education, and ambitious in your desire to grow your own skills to expand the resources for our cause.
REQUIRED QUALIFICATIONS
Strong relationship building, interpersonal and leadership skills
Clear, effective and demonstrable oral and written communication skills
Strong problem solving and customer service skills
Strong organizational and record-keeping skills with the ability to handle multiple, high priority projects with a keen attention to detail
Basic financial literacy
Basic understanding of grants and grant distribution
Team player orientation; ability to interface with internal and external parties at all levels
Hands on, energetic and motivated self-starter
Willingness to learn and grow; sense of humor when things go wrong
Committed to fostering a workplace culture of belonging, where diversity is celebrated, and equity is a core value
PREFERRED QUALIFICATIONS
Associates and/or Bachelor’s degree preferred
At least three years of experience in office administrative work
Quickbooks experience preferred
Financial understanding experience preferred
Grant and scholarship understanding experience preferred
WORK SCHEDULE
The work schedule is Monday-Friday, 9:00 AM - 3:00 PM. This position requires willingness to work evenings and weekends on occasion, as well as limited domestic travel.
Flexibility and Summer Fridays off.
SALARY AND BENEFITS
The salary range for this position is $34,000 - $37,000.
Benefits include:
10 days of paid holidays per year, may be flexed on certain holidays in exchange for another holiday
15 days of paid vacation per year
